Bookable resources — rent vehicles, rooms, accommodation, and pitches, with pricing by the hour, day, or night, driver checks, and booking extensions.

This release adds bookable resources: offer and schedule physical resources alongside your team's time.

Book the asset, not just the person

  • Add vehicles, accommodation, rooms, and pitches to a catalog of their own, grouped into categories.
  • A service can be delivered by a team, by a resource, or by both together when a booking needs a person and a place at the same time.
  • Each resource has its own hours, unavailable periods, locations and photos. Availability takes the resource, service schedule, existing bookings and location rules into account.

See Bookable resources, Create a resource, and Resource-based services.

Prices that follow the time booked

  • Rentals and stays are priced by the hour, the day, or the night. A started unit counts as a whole one — a vehicle kept three days and five minutes is charged four days — and the customer sees the total before they book.
  • Extra drivers or guests can carry their own fee.

See Pricing by hour, day and night.

Extend a booking, with the price shown first

  • Admins can extend a booking without rescheduling it. If the extra time adds a charge, you see exactly what it will cost before anything is saved and confirm it.
  • Only the added time is priced, at the current rate. The price of the original booking and the payments already received stay as they were.
  • If the price changes while you are reviewing, you are asked to confirm again.
  • A few situations cannot be settled automatically. ServEase tells you and changes nothing.

See Extend a booking.

Clearer payment choices

  • A service with one payment term uses it automatically; with several, the customer or admin chooses; with none, the customer is asked to pay when booking.
  • A booking on a subscription term still needs the customer's active subscription for that term.
  • For rentals and stays you can add deposit instructions. Customers see them while booking and in their booking emails. ServEase shows your instructions but does not collect or hold the deposit.

Vehicle rental, with the driver checks built in

  • Only a person on the customer's account can be a driver, and ServEase confirms that before anything else.
  • Every selected driver gets a clear licence result: Ready, Missing, Expired, Not valid for date, or Incompatible class.
  • A vehicle can require a minimum driver age, checked when the booking is made and when it is rescheduled.
  • Licence dates are judged by the booking date in your own time zone.
  • When a booking is blocked, you are told which driver is blocking it.
  • An admin with the override permission can let a booking proceed. A reason is required, it is kept with the booking, it applies to that booking only, and it never edits the driver's licence record.

Your words, in every message

Customers read the words that fit what you sell — drivers for vehicle rentals, guests for stays — or your own words if you rename them.

Clearer for customers

  • Booking pages show requirements in plain language — the licence category needed, a minimum age, a mileage allowance, or unlimited mileage — and show nothing when nothing applies.
  • Booking emails are written in the customer's language, with dates spelled out naturally, the pick-up and return places, the amount to pay, and your instructions.
  • Resource photos are presented as a proper gallery, and resource details are summarised first with the full list one click away.
  • Booking widgets can promote individual resources with their own photos and details, while still letting customers choose between the services available for that resource.
  • Customers who start in a booking widget and continue in the Customer Portal keep what they already chose.

Your email templates stay yours

If you have customised your booking emails, they are kept exactly as you wrote them. Default booking email templates you haven't customised are updated with the new wording.

What's new for administrators

  • A catalog of bookable resources — vehicles, accommodation, rooms, and pitches — grouped into categories
  • Services delivered by a team, a resource, or both together
  • Rental and stay pricing by the hour, day, or night, with extra driver/guest fees
  • Extend a booking with the added-time price shown and confirmed before it is saved
  • Clearer payment-term handling and optional deposit instructions for rentals and stays
  • Built-in driver licence checks, minimum driver age, and an auditable override
  • Your own wording for drivers, guests, and resources, used consistently in every message
  • Plainer booking-requirement language, a proper photo gallery, and individual resource promotion in booking widgets
  • Default booking email templates are updated with the new wording; customised templates are preserved as written
